2. Website and hosting

When you visit this website, technically necessary connection data is processed. This includes your IP address, the time, the requested address, browser information and response status. This enables us to deliver the website, analyse errors and prevent misuse. The legal basis is Article 6(1)(f) GDPR; our legitimate interest is a functioning and secure website.

We use IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany, for hosting and email. IONOS processes technical connection data and content transmitted through its services. Only authorised administrators have access to website administration and stored newsletter data.

Log and backup data is processed for operational security and recovery. The specific retention periods and contractual allocation of IONOS services are still being finalised; please see the preview status notice at the end of this policy.

3. Enquiries and email

When you contact us, we process the contact, organisation, group and planning information you provide, together with your message, to respond to your enquiry. Where this concerns steps before entering into a contract, the legal basis is Article 6(1)(b) GDPR. For other enquiries, processing is based on Article 6(1)(f) GDPR and our interest in responding to your questions.

Form submissions are sent through IONOS to info@albtal-arena.de. You also receive a confirmation email. Enquiry content is not stored as a separate record in WordPress. We manage our mailboxes using IONOS Webmail and directly connected Apple Mail; no additional forwarding or cloud archiving is configured.

Fields marked as required must be completed. Dates and group size may remain undecided. Optional details help with planning. Without sufficient contact information, we cannot reply. Please do not send unnecessary sensitive details about individual participants.

To limit misuse, a cryptographically derived IP verification value is used for ten minutes. Technical delivery references and delivery status are retained for 24 hours. They do not contain enquiry content; expired entries are removed through WordPress clean-up routines.

Completed enquiries are retained for the purpose of handling them. No additional blanket six-month retention period is planned. Statutory retention obligations and retention necessary to establish, exercise or defend legal claims remain unaffected; data retained for these purposes must not be used for other purposes.

4. Newsletter and confirmation

With your voluntary consent, we send email updates about news, activities and public events from Albtal Event & Camping GmbH. Your subscription only becomes effective after your explicit confirmation (double opt-in). Without confirmation, you will not receive a newsletter. The confirmation email is sent through IONOS from noreply@albtal-arena.de; no external newsletter platform is used.

We store your email address, the consent text and its version, registration and confirmation times, and technical delivery and verification data. The confirmation link is valid for 48 hours; only a hash of the token is stored. A cryptographically derived IP verification value used to limit misuse is valid for one hour.

The legal bases are Article 6(1)(a) GDPR for the newsletter and Article 6(1)(f) GDPR for securing and documenting the registration process. You can withdraw consent at any time using the unsubscribe link or by emailing info@albtal-arena.de, without affecting the lawfulness of processing carried out before withdrawal.

Confirmed subscriptions remain stored until consent is withdrawn. Under the currently configured process, unsubscribed and unconfirmed entries are deleted after 30 days by a daily batch clean-up. Actual execution uses WordPress Cron. Existing unconfirmed pre-registrations do not constitute newsletter consent and are not activated automatically.

5. Cookies, local resources and external links

We use the locally installed WordPress plugin Polylang for language selection. It stores your chosen language in the “pll_language” cookie for up to one year. The cookie contains the language code and remembers your language choice. Translations are managed on our server; no external translation service is connected.

Fonts and images are loaded from our own website. No externally embedded maps or videos are active. Optional audience measurement and its current operating mode are described in the following section.

The enquiry forms do not use cookies or browser storage to save your entries. Transmission is encrypted via HTTPS. Authorised administrators use the technically necessary WordPress login and session processes. External links only open other websites when you follow them; the respective provider's privacy information then applies.

You can change your consent to optional audience measurement at any time in the privacy settings. Without this consent, no Google Analytics scripts are loaded.

6. Your rights

Subject to the legal requirements, you may request access, rectification, erasure, restriction of processing and data portability. Where processing is based on legitimate interests, you may object on grounds relating to your particular situation. You may object to direct marketing at any time. You may withdraw consent at any time with effect for the future.

Please contact info@albtal-arena.de to exercise these rights. You may also lodge a complaint with a data protection supervisory authority, particularly where you habitually reside, work or believe an infringement occurred. The competent authority for our company is the State Commissioner for Data Protection and Freedom of Information Baden-Württemberg: www.baden-wuerttemberg.datenschutz.de.

The website does not make automated decisions, including profiling, within the meaning of Article 22 GDPR.
